Volunteer Transition Bag Process


How to receive T1 & T2 bags (Friday):

Volunteers will receive all T1, T2 and special needs bags beginning Friday night when the transition area opens (4pm – 8pm).

As competitors enter the transition area the volunteers will ask for bags.

The following boxes/container will be available for storage of bags:

2 - 4 large containers marked “Bike Special Needs"
2 - 4 large containers marked “Run Special Needs”
2 large containers marked “Male T1 Bags”
2 large containers marked “Male T2 Bags”
1 large container marked “Female T1 Bags”
1 large container marked “Female T2 Bags”

As the bags arrive into the transition area volunteers are to place the bags into the respective container.


How to manage T1 & T2 bags (Friday):

When the T1 & T2 containers are full volunteers are to take them into their respective Male/Female changing tents.

The T1 containers are to be emptied and the bags placed “on top” of the tables. Bags are to be sorted in numerical order beginning with the lowest number and working to the right; down the line of tables.

The T2 containers are to be emptied and placed “underneath” the tables in numerical order for staging. The empty containers should be returned for further collection.


How to manage special needs bags (Friday):

When the special needs containers are full they are to be placed in an air-conditioned location for safe storage.  The Transition Director will manage this. This will ensure that all perishable items will be kept fresh.


How to manager T1 & T2 bags (Saturday):

05:30am – Transition area opens; volunteers will collect any remaining T1 & T2 bags and place them in their respective tents.

As competitors come out of the water and into the tent a volunteer will get their race number and shout it out to a “Grabber” (this is a volunteer who manages the bags inside the tent). 

The Grabber will find the competitor’s T1 bag on the table and take it to the competitor’s chair.

The Grabber will remove all items from the bag and place them in an orderly fashion so the competitor can change quickly.

When the competitor has finished changing, the Grabber will place the entire contents of items owned by the competitor into the T1 bag and close it tightly.

The Grabber will take the T1 bag and place it into a “finish” container located in the tent.

When all of the competitors have moved through the T1 transition, a volunteer will take the “finish” container of T1 bags to the “pick-up” area for collection.  The volunteer will return the “finish” containers to the tent to ready them for the T2 bags.

In conjunction, Grabbers will take all T2 bags from under the tables and place them in numerical order on top of the tables once all T1 bags have been utilized.

The process for the T2 bags is the same for the T1 bags and should be followed accordingly.


How to manage the special needs bags (Saturday):

05:30am – Transition area opens; volunteers will collect any remaining special needs bags and place them in their respective containers.

At race start, or just before, volunteers will load the bike & run special needs containers in a golf cart and transfer them to their respective Bike Special Needs Tent & Run Special Needs Tent.

Volunteers at the special needs tent will remove the bags and stage them in numerical order for pickup.

After a special needs bag has been utilized the volunteer is to place it back into the container.

When a container is full, a volunteer is to make contact with the Volunteer Chairman to have the container picked up.

The container will be taken to the “pick-up” area and placed with the T1/T2 bags.

The volunteer will return the empty container to the special needs tent if needed.


Post Race Process:

All competitors’ bags should now be staged in sequential order in the “pick-up” area.  The “pick-up” area is located at the south east corner of the transition area.

A transition volunteer will hand out the bags to finishing competitors if that have valid race number in hand.  Bags should never be given to non-competitors!

Competitors will not be allowed to rummage through the bags themselves.
